Connect QuickBooks Online to Truss
On this page
Link the Truss bank feed once, then post two $0.01 entries for each Truss account. That tells Truss which QuickBooks account to use.
How the connection works
Truss connects to QuickBooks Online (QBO) through the Truss bank feed. You link the feed in QBO once. After that, each Truss account connects as soon as you post its two $0.01 entries.
Those two entries are how Truss learns which QBO account each Truss account belongs to. Once you post them, Truss finds them and uses that QBO account for everything it posts: payments, bills and invoices. You don't pick a general ledger account in Truss anymore.
Every Truss account gets its own feed Your primary cash account and each sub-account connect separately. Each one needs its own QBO account and its own two posted $0.01 entries. An account stays Not connected until its entries are posted.
Before you start
- You need an active QuickBooks Online subscription (not QuickBooks Desktop).
- You must be an Admin in both Truss and QBO.
- Have your QBO login ready.
Connect the correct QuickBooks company If you manage more than one QBO company, check the company name in the top-left corner of QBO before you start.
Start in Truss
-
In Truss, go to Settings → Integrations.
-
If QuickBooks Online shows Not connected, click Connect QuickBooks, then Get started, and sign in to QuickBooks. One connection covers every Truss account.
-
Scroll to Connected accounts. You'll see every Truss account, its setup status, and the QBO account it posts to.
-
Click Setup guide for the steps below, or Open QuickBooks bank transactions to jump straight into QBO.
Step 1: Open Bank transactions
In QuickBooks, go to Transactions → Bank transactions.
Step 2: Link Truss
- Click Link account in the top right.
- Search for Truss Payments and select it.
- Sign in with your Truss login.
Step 3: Tick your Truss accounts
Add both your Truss Cash account and your Truss Card account. Each one gets its own QBO account.
- Tick your Truss Cash account and your Truss Card account, plus any sub-accounts.
- For each one, choose the QBO account it should post to, or create a new one:
- Truss Cash and any sub-accounts: set the type to Checking.
- Truss Card: set the type to Credit Card. It has its own feed and doesn't need the $0.01 entries.
- Click Connect.
Use a different QBO account for each Truss account If two Truss accounts post to the same QBO account, your books won't match. You can add more accounts later.
Step 4: Post the two $0.01 entries
For each cash account and sub-account you connected, Truss sends two $0.01 entries to the feed: one received and one spent. They usually show up under Pending (or For review) within 15 minutes.
- In Bank transactions, select the account at the top.
- Find the two Truss Bank Feed entries for $0.01.
- Click Post on both.
- Repeat for each Truss account.
The two entries cancel each other out, so your balance doesn't change.
Check that it connected
Once both entries are posted, Truss finds them and the account's status in Settings → Integrations changes to Connected, with its QBO account listed beside it.
Here's what a finished connection looks like in Truss: QuickBooks Online shows Connected, and your account shows Connected with its QuickBooks account beside it.
If you also use JobTread, turn Automated Invoices off.
To check right away, click Setup on the account, then Check connection. Click Details on a connected account to see which QBO account it posts to.
Turn Automated Invoices on or off
On the QuickBooks Online card in Settings → Integrations, set Automated Invoices based on how you invoice:
- If you use JobTread and QuickBooks Online, Automated Invoices must be OFF.
- If you use QuickBooks Online without JobTread, Automated Invoices must be ON. It emails your customers a payment link for every QBO invoice.
Connecting sub-accounts
Sub-accounts work the same way as your primary account. Each one has its own feed, its own QBO account, and its own two $0.01 entries.
- In QBO, tick the sub-account in Step 3 and give it its own QBO account.
- Post its two $0.01 entries in Step 4.
- Check that it shows Connected in Truss.
Created a sub-account after you linked Truss? Go back to Bank transactions → Link account, select Truss Payments, sign in, and tick the new account.
Common questions
I don't see the $0.01 entries. Give it 15 minutes, then click Update in Bank transactions. Check the Pending or For review tab, and make sure the right account is selected at the top. Still nothing after an hour? Email us.
Which category should I pick? Any category works. The two entries cancel out, so they won't affect your books. If you're not sure, ask your bookkeeper.
I can't find a Truss account I just created. Link Truss again from Bank transactions → Link account and tick the new account. It won't appear until you do.
I can't find Bank transactions. Type Bank transactions in the QBO search bar, or click Open QuickBooks bank transactions in the Truss setup guide.
Truss is already linked in QuickBooks. You don't need to link it again. Skip to Step 3 for any account that isn't connected, then post its two entries.
QuickBooks asks me to upgrade. That prompt comes from QuickBooks, not Truss. Bank feeds need a QBO plan that supports connecting bank accounts. Check your plan with QuickBooks.
