Set Up Automated Invoice Delivery via QBO
On this page
Turn on Automated Invoices so Truss emails your customer a payment link for every QBO invoice, and choose whether they see invoice line items.
What is automated invoice delivery?
When you create an invoice in QuickBooks Online, Truss can automatically send your customer a payment link (via email) without you having to do anything in Truss. This is the recommended workflow for QBO users.
Enable auto-send
Automated Invoices: on or off?
If you use JobTread and QuickBooks Online, Automated Invoices must be OFF.
If you use QuickBooks Online without JobTread, Automated Invoices must be ON.
The toggle is on the QuickBooks Online card in Truss under Settings → Integrations.
- In Truss, go to Settings → Integrations.
- On the QuickBooks Online card, turn on Automated Invoices.
Show or hide invoice line items
When invoices sync from QBO, Truss can show your customer a breakdown of line items. To hide it, turn off Show Invoice Line Items on the same QuickBooks Online card in Settings → Integrations. Synced invoices will then show only the total.
⚠️ Also update your QBO invoice template
If you have line items visible in your QBO invoice template, they'll still appear on the PDF attachment even after toggling this off. To fix:
-
In QBO, click the gear icon and select Custom form styles under Your Company.
Gear icon > Your Company > Custom form styles
-
Find your invoice template in the list and click Edit.
Click Edit next to the template you want to change
-
Open the Emails tab. Under How your invoice appears in emails, choose Summarized details instead of Full details, then click Done.
Emails tab > select Summarized details
-
Make sure that template is set as the Default.
Workflow after enabling
- Create and send an invoice in QBO as usual.
- Truss detects the new invoice (within 1–3 minutes).
- Truss automatically emails your customer with a payment link.
- Customer pays through the Truss portal — funds land in your Truss account.
- QBO reconciles automatically via bank feed.
Tip: Add your Truss payment portal link to your QBO invoice template so customers always see how to pay, even on invoices Truss doesn't auto-send. See: "Add Your Payment Link to a QBO Invoice Template."
For pre-integration invoices
If you had existing QBO invoices before connecting Truss, auto-send will not retroactively email customers. To share the payment link for an existing invoice: find it in Truss → Payments → Invoices → click Remind Customer.
