How QBO and Truss Sync

Updated Oct 2, 2026

On this page

Heads up: Bills and invoices sync from QBO to Truss. Payments sync from Truss to QBO. Bills and invoices you create directly in Truss don't sync to QBO, only their payments do.

What syncs from QBO to Truss

  • Invoices (including line items, customer info, due dates)
  • Bills
  • Customer and vendor information

What syncs from Truss to QBO

Truss always pushes your payments to QBO: bill payments you send and invoice payments you collect.

Bills and invoices you create directly in Truss don't sync to QBO. Only their payments do, so QBO won't have a matching bill or invoice to apply them to.

Best practice: Create invoices and bills in QBO first. Let them sync to Truss. Then collect and pay through Truss.

Sync timing

QBO → Truss sync takes 1–3 minutes. If a customer clicks a payment link immediately after you create an invoice in QBO, the invoice may not be in Truss yet — ask them to wait a moment and refresh.

If a QBO invoice is not showing in Truss after 10 minutes

  1. Check that your QBO connection is active: Settings → Integrations → QuickBooks

Settings navigation item with a gear icon in the Truss sidebar

  2. Verify the invoice is in the correct QBO status (it must be open/unpaid to sync)

  3. Check your QBO subscription is active — a lapsed subscription breaks the sync immediately

  4. Try disconnecting and reconnecting QBO

  5. Contact support if the issue persists

QBO subscription lapsed error

If you see "Subscription period has ended or canceled": log into QuickBooks → Gear icon → Billing & Subscription → renew. The Truss sync resumes automatically.
