Here's every settings screen worth visiting in your first week — branding, your Payment Portal, notifications, QuickBooks, Balance Protection, Express Payments, and linking your bank — all in one place.

1. Set your business branding

Your branding is what customers see on checkout pages, payment links, and email verification — so it's worth doing first. Head to Settings → Business.

  1. Enter your Display name — this is the business name customers see across checkout and payment links.
  2. Enter a Statement descriptor — the short label that shows up on your customer's card or bank statement when they pay you.
  3. Click Upload under Logo to add your business logo. It appears in the checkout header and on verification pages, so a square image works best.
  4. Click Save changes once everything looks right.

Tip: Both the display name and statement descriptor have a maximum length shown live under each field as you type — keep an eye on the counter so your text doesn't get cut off in checkout.

2. Get your Payment Portal ready

Your Payment Portal is the public page your customers use to pay invoices and payment links. Head to Settings → Payment Portal.

  1. Click Preview to open your live portal in a new tab and see exactly what customers see.
  2. Copy your Payment Portal Link using the copy icon — this is the URL you'll share with customers, add to invoices, or drop on your website.
  3. Decide whether to Allow custom payments, which lets a customer pay an amount you haven't invoiced them for.
  4. Decide whether to turn on the platform fee toggle. On: the platform fee is included in the total your customer pays, and we waive it when they pay by bank transfer. Off: you cover the platform fee yourself.

3. Set up notifications and check your team's roles

Before you start inviting your team or connecting QuickBooks, it's worth reviewing who's already on your account and how they're notified. Head to Settings → Notifications.

  1. Toggle Invoice reminder on if you want Truss to automatically send invoice requests to clients whenever QuickBooks is connected.
  2. Scroll down to the Users list to see everyone currently on your account and their assigned Role (Admin, Bookkeeper, Employee, Sales Representative, Project Manager, and so on).
  3. Click any user in the list to open and adjust their individual notification settings.

4. Connect QuickBooks Online

If you use QuickBooks Online, connecting it keeps your books in sync automatically. Head to Settings → Integrations.

  1. Confirm QuickBooks Online shows Connected.
  2. Under Connected accounts, check that each Truss account shows Connected. If any say Not connected, follow Connect QuickBooks Online to Truss to post its two $0.01 entries.
  3. Set Automated Invoices. If you use JobTread and QuickBooks Online, it must be OFF. If you use QuickBooks Online without JobTread, it must be ON.
  4. Toggle Show Invoice Line Items on if you'd like individual line items — not just the invoice total — to appear on the QuickBooks side.

5. Turn on Balance Protection

Balance Protection helps cover outgoing payments — like payroll — when incoming funds haven't fully settled yet, so a timing gap doesn't cause a payment to fail. You'll find it under Settings → Balance Protection.

  1. Read the About Balance Protection and Example Transaction sections to understand how coverage and the associated fee work.
  2. Flip the Balance Protection toggle on to enable it for your account.
  3. Check the Usage section any time to see how much you've used against your available coverage for the day.

Note: Your coverage amount and fee are shown directly on this screen and are specific to your account, so check the live page for your current terms rather than relying on a fixed number here.

6. Turn on Express Payments

Express Payments lets you send a bill payment before an incoming deposit has fully settled, with a guaranteed arrival date for your vendor — useful when you need a payment to go out now but the funds backing it are still in transit. You'll find it under Settings → Express Payments.

  1. Read the How it works steps and the worked Example so you understand how the fee is calculated before turning it on.
  2. Flip the Express Payments toggle on.
  3. When paying a bill going forward, choose Express at checkout — Truss will quote the fee on whatever portion of the payment is still unsettled before you confirm.
  4. Review the linked Terms of Service and Early Payment Availability Terms if you want the full legal detail on how early payments are advanced.

Note: The fee only applies to the unsettled portion of a payment — once your deposits fully settle, payments always move with no fee. The exact fee is quoted on-screen each time you choose Express, so check the live page rather than a fixed number here.

Linking an external bank account lets you move money in and out of Truss. Head to Settings → External accounts and click + Bank account.

Heads up: The account and routing numbers shown for a linked bank may differ from the ones printed on your physical checks. This is expected for banks that share tokenized numbers with Truss through Plaid — your transfers still land in the right place.

Clicking + Bank account opens Plaid to securely connect your bank:

  1. Enter your phone number if you'd like faster sign-in with Plaid next time, or select Continue without phone number.
  2. Search for and select your institution from the list — Chase, Bank of America, Wells Fargo, and many others are supported. Scroll down for more options, including credit unions and investment platforms.
  3. If your bank isn't listed, or you'd rather not log in through Plaid, choose Connect manually instead and enter your routing number directly.
  4. When connecting manually, Truss verifies the account with a small deposit. Look for it in your recent transactions and enter the 3-letter code that appears after the # symbol in the transaction description to finish verifying.
  5. Once connected, your account appears in the External accounts list along with any other linked banks.
