Truss + JobTread: How Invoices and Bills Sync
Invoices go straight to Truss. Bills route through QuickBooks. Here's the full map, and why to connect QuickBooks either way.
The short version
Invoices and bills take different paths
Invoices sync straight from JobTread to Truss once someone clicks Pay Now on them. Bills only reach Truss after passing through QuickBooks Online. If you use QuickBooks for your books, connect it either way — it won't change how your invoices arrive, but it keeps one clean, matched record of your Truss activity and makes reconciling your books faster. How QBO and Truss Sync covers that side in full.
How invoices sync
JobTread sends invoices directly to Truss. There's no QuickBooks step in between, and nothing to configure on the QBO side for the invoice itself to arrive.
JobTread → Truss
Direct sync. The invoice lands in Truss once someone clicks Pay Now, whether or not QuickBooks is connected.
If you also have QuickBooks connected, JobTread keeps sending invoices there too, the same way it always has, for your accounting records:
⚠️ Turn Automated Invoices OFF
If you use JobTread and QuickBooks Online, Automated Invoices must be OFF. In Truss, go to Settings → Integrations and make sure the Automated Invoices toggle on the QuickBooks Online card is off.
JobTread → QuickBooks
Happens in parallel, purely to keep your books current. Truss doesn't wait on it, and it doesn't feed back into Truss for invoices.
Only payments sync back from QBO to JobTread
Once an invoice pushes from JobTread to QuickBooks, the only thing that syncs back automatically is payment status. If you add items or make other changes to the invoice in QuickBooks after that, those changes stay in QuickBooks. They don't flow back to JobTread, and they don't reach Truss.
QuickBooks → JobTread → Truss
Payments only. Refresh the JobTread page after a payment posts in QuickBooks so it carries through to Truss.
To add a late fee, or make any other change, to an invoice you've already sent, editing it directly won't sync anywhere. Instead:
- Void the existing invoice in JobTread.
- Clone it.
- Add the late fee, or whatever else changed, as a line item on the clone.
- Send the clone. It syncs fresh to Truss as its own invoice.
How bills sync
Bills work differently. JobTread sends bills to QuickBooks first, and Truss picks them up from there.
JobTread → QuickBooks → Truss
The only path for bills. There's no direct JobTread-to-Truss connection here.
⚠️ Missing bill in Truss? Check QBO first
Since bills have no direct path, a broken or paused QuickBooks sync is the most common reason a bill hasn't shown up in Truss yet. Confirm the sync is connected and running under Settings before troubleshooting anything else.
Should you still connect QuickBooks?
Since invoices reach Truss without any help from QuickBooks, it's tempting to skip the connection if you don't process bills through Truss. Connect it anyway if QuickBooks is where you keep your books.
Why it's worth connecting
A connected QBO gives you one matched record of everything moving through Truss — cash in, cash out, invoices, and bills — instead of two separate ledgers you have to reconcile by hand.
- Your Truss cash account reconciles against a running balance that already matches QBO, instead of a manual line-by-line comparison. Reconcile Your Truss Cash Account in QBO walks through it.
- Customer and vendor balances stay accurate on both sides, so an invoice or bill marked paid in Truss shows paid in QuickBooks too.
- Month-end close takes less time since your bookkeeper isn't re-entering Truss activity that QuickBooks could have pulled in automatically.
None of this changes how invoices sync, that path stays direct either way. It just means the books match without extra manual work.
