Buildertrend, Jobber, ServiceTitan and similar software connect to Truss through QuickBooks Online. Connect your software and Truss to the same QBO company, then add your payment portal link.
How Buildertrend connects to Truss
There's no direct, native connection between Buildertrend and Truss. Instead, Buildertrend syncs into QuickBooks Online (QBO), and Truss connects to that same QBO account — so QBO is the sync layer in the middle. Whatever Buildertrend sends to QBO — both bills and invoices — will pull into Truss the same way. Once that chain is in place, Truss automatically sends your clients a secure payment link whenever a Buildertrend invoice reaches QBO.
To get clients paying with one click straight from a Buildertrend invoice email, you'll also want to add your Truss Payment Portal link directly into Buildertrend's own invoices — that's the last step below.
⚠️ Clients must use the email address the invoice was sent to
When Truss sends a client their payment link, they'll need to log in with the same email address the invoice was sent to in order to see and pay it. If a client uses a different email — even a correct one for them — they won't see the invoice on their end. Double-check the client email on the Buildertrend/QBO side if a client says they can't find their invoice.
Before you connect
- Buildertrend's QuickBooks Online sync must already be turned on (Buildertrend → Company Settings → Integrations → QuickBooks Online).
- You need an active QuickBooks Online subscription (not QuickBooks Desktop).
- You must be an Admin in both Truss and QBO.
- Have your QBO login credentials ready.
Step 1 · Sync Buildertrend to QuickBooks Online
This part happens entirely inside Buildertrend, before Truss is involved at all.
- In Buildertrend, go to Company Settings → Integrations → QuickBooks Online and connect your QBO account if you haven't already.
- Make sure both bills and invoices are set to sync automatically — anything Buildertrend pushes to QBO on either side will carry through into Truss once it's connected.
Where Buildertrend invoices actually get created
Invoices are created per job under Financial → Invoices → + Invoice in Buildertrend. From there they sync to QBO automatically once the integration above is on — you don't need to re-enter anything in QuickBooks.
Step 2 · Truss: Payment Portal, Branding & QuickBooks Connection
Everything on the Truss side — your payment link, your branding, and connecting QuickBooks — lives together under Settings. Handle all three now while you're in there.
Step 2A · Set your Payment Portal link
Go to Settings → Payment Portal. You'll paste this link into Buildertrend in the final step below.
Step 2B · Set your Business branding
Go to Settings → Business to set your display name and upload your logo — this is what clients see when they open the payment portal link.
Step 2C · Connect QuickBooks Online
Connect the same QuickBooks Online company Buildertrend syncs to.
-
In Truss, go to Settings → Integrations, click Connect QuickBooks, then Get started, and sign in to QuickBooks.
-
In QuickBooks, go to Transactions → Bank transactions → Link account, search for Truss Payments, and sign in with your Truss login.
-
Tick each Truss account and choose the QBO account it posts to. Use a different QBO account for each one. The card account uses the Credit Card type.
-
Post the two $0.01 entries for your cash account and each sub-account. Your card account doesn't need them.
For the full walkthrough with every screenshot, see Connect QuickBooks Online to Truss.
Step 3 · Check Your Connection & Notifications in Truss
Head back to Truss to finish the connection.
- Go to Settings → Integrations. Under Connected accounts, your cash account should show Connected. Posting the $0.01 entries is what tells Truss which QBO account to use, so there's no General Ledger dropdown to set. Still Not connected? Click Setup, then Check connection, or see Connect QuickBooks Online to Truss.
- Toggle Automated Invoices to ON. This is what sends clients a payment link automatically whenever an invoice syncs in from QBO.
⚠️ Keep Automated Invoices ON
If you use QuickBooks Online without JobTread, Automated Invoices must be ON. It sends your customers a payment portal link the moment a QBO invoice syncs to Truss. Without it, clients have no way to pay through Truss.
Check Notifications too
Once QuickBooks is connected, Truss can also automatically email clients an invoice reminder — separate from whatever notification Buildertrend itself sends. If you'd rather clients only get one invoice email (from Buildertrend) and just use the Truss payment link inside it, turn this off.
- In Truss, go to Settings → Notifications.
- Under Global → Customers, find Invoice reminder.
- Toggle it Off if you only want Buildertrend sending the invoice email. Leave it On if you'd like Truss to also send its own reminder.
This is independent of Automated Invoices
Turning this off only stops Truss's own invoice reminder email. It doesn't affect the Automated Invoices setting above — the payment link itself will still generate and work the same way, clients just won't get a second email about it from Truss.
Step 4 · Add your payment link to Buildertrend invoices
This is the one step that's specific to Buildertrend rather than QuickBooks. Buildertrend doesn't have a separate document-template editor — instead, there's a default invoice description field that appears on every invoice automatically.
- In Buildertrend, go to Company Settings → Financial Management Settings → Invoices.
- Find Default invoice description.
- Add a line like: "To make a payment online, visit:" and paste your Truss Payment Portal link from Step 2A.
- Save your changes.
Every new invoice will now include this message and link by default. You can still edit or remove it on any individual invoice if a particular job needs different wording.
Also update your QBO invoice template
Since Buildertrend invoices sync through to QuickBooks Online, it's worth adding the same payment link to your QBO invoice template too — that way the link shows up consistently whether a client is looking at the Buildertrend invoice or the synced QBO copy. See Add Your Truss Payment Link to a QBO Invoice Template for those steps.
Using Jobber, ServiceTitan or other software?
Any software that syncs to QuickBooks Online connects to Truss the same way Buildertrend does, with QBO in the middle.
- Connect your software to QBO. Most major platforms support this natively.
- Connect Truss to the same QBO company (Steps 2 and 3 above).
- Invoices and bills you create in your software sync into QBO, then into Truss.
- Truss sends your customer a payment link and processes the payment.
- Truss pushes the payment to QBO, and QBO updates your software the way it normally does.
Not using QuickBooks Online? You can still invoice directly in Truss, and some software connects through Zapier. Email support@trusspayments.com for setup help.
